Privacy policy
Last updated · July 2026At ULIC Centre we process little data, and we do it for one thing only: to reply to you. This policy explains, with no small print, what data we collect in this site's forms, what we use it for, where it is stored and how you can exercise your rights under Regulation (EU) 2016/679 (GDPR) and Spanish Organic Law 3/2018 (LOPDGDD).

02What data we collect
Only what you type into this site's forms:
- Information forms ("Get free info"): name, email and telephone.
- Exam booking forms (Linguaskill, LanguageCert, Anglia and similar): in addition to the above, the level, the modules or the variant you need, options such as Take2 and your approximate timeframe.
- Source of the enquiry: we record which page you sent the form from, so we can reply to you about the right exam.
- Online level test: name, email and telephone, your written test answers and, if you complete the oral part, a voice recording of up to 90 seconds, which a ULIC teacher listens to in order to confirm your real level. The recording is only kept if you tick the consent box on that form.
We do not collect special categories of data, we do not use the forms to build profiles, and we do not add your data to automated advertising lists.
03Why we use it and on what basis

We do not use your data for any other purpose. If in future we wished to send you marketing communications, we would ask for separate consent.
04Where it is stored and who receives it
Form submissions are recorded in a private Google Sheets spreadsheet, operated by Google LLC as processor, with access restricted to ULIC's admissions team. Google may process data in the United States; this international transfer is covered by the EU-U.S. Data Privacy Framework and the European Commission's standard contractual clauses.
The level test voice recording is stored in a private, restricted Google Drive folder, with the same limited access for ULIC's team, and is never shared outside the centre.
If you contact us via WhatsApp, the processing of that conversation is also governed by WhatsApp's terms and privacy policy (Meta Platforms Ireland Ltd.).
We do not sell or transfer your data to third parties. Data would only be shared with the examining bodies (for example Cambridge, LanguageCert or Anglia) where essential to formalise an enrolment you have asked us for, and with public authorities where a legal obligation requires it.
05How long we keep it
- Information requests: up to 12 months from the last contact, unless you ask for erasure sooner.
- Bookings and enrolments: for the duration of the relationship and the applicable statutory limitation periods (generally up to 6 years for commercial records).
- Level test voice recording: up to 12 months from the recording date, after which it is permanently deleted.
06Your rights
You may exercise your rights of access, rectification, erasure, objection, restriction of processing and portability at any time, and withdraw your consent without affecting the lawfulness of prior processing. Just send an email to admon@ulic.es with the subject "Data protection", stating which right you wish to exercise. We will respond within one month at most.
If you believe we have not handled your rights correctly, you may lodge a complaint with the Spanish Data Protection Agency (www.aepd.es, Calle Jorge Juan 6, 28001 Madrid).
07Security and minors
We apply reasonable technical and organisational measures to protect your data: restricted, credential-based access to the records spreadsheet, encrypted communications (HTTPS) and the principle of minimisation, requesting only what is needed to reply to you.
Our services are aimed at adults and families. If you are under 14, please do not submit forms: ask your parent or guardian to contact us on your behalf.
08Changes to this policy
We will publish any change to this policy here, with its update date. Significant changes will be communicated prominently on the site.
